Who I am

Claire Curran Coaching is a coaching and mentoring practice run by Claire Curran, based in Scotland.

I am the data controller for the information described in this policy. This means I decide how your information is used, and I am responsible for looking after it under UK data protection law.

Who this policy is about

This policy covers people who visit the website, send an enquiry, book a consultation or work with me as a client.

What information I collect

Depending on how you contact or work with me, I collect:

  • your name, email address and telephone number

  • booking details, including the dates and times of your sessions

  • your answers on the booking form when you book a consultation or session

  • what you tell me in an enquiry, in a consultation and during sessions

  • short written notes I make during or after a session

  • payment records (Stripe handles card payments, and I never see your full card details)

  • emails, messages and other correspondence between us, including comments or messages on my Instagram account

  • any feedback you give me after a session, and any testimonial you agree to let me use

  • technical information about your visit to the website, such as your IP address, browser type and the pages you looked at, collected through Squarespace Analytics and Cloudflare

My Cookie Policy explains the cookies this website uses.

Sensitive information

Coaching conversations often touch on health, mental health, relationships, beliefs and sexuality. Data protection law treats some of this as special category data, which has extra protection.

I keep my notes short and record only what I need to work with you well. Where my notes contain special category data, I rely on your explicit consent. You give this by ticking the consent box on the booking form.

You can withdraw your consent at any time by telling me. I will explain what that means for our work together.

Clients often talk about other people, such as parents, partners or former partners. My notes may include some information about them, and I keep this to the minimum I need.

Who I share it with

I do not sell your information and I do not share it for marketing. I use a small number of suppliers who handle information on my behalf. Each one has a written data protection agreement with me.

SupplierWhat they do
SquarespaceHosts the website, receives contact form messages and provides website analytics
CloudflareManages the domain name for ClaireCurranCoaching.com and protects the website from attacks and spam
Acuity SchedulingHandles bookings, sends appointment reminders and stores booking form answers
ZoomHosts video sessions. I do not record sessions, and Zoom's AI features are switched off on my account
Google WorkspaceProvides email and secure storage for contracts, business documents and client notes
StripeProcesses card payments
QuickBooksKeeps my accounts and tax records

Stripe also uses some payment information for its own fraud prevention and legal checks. When it does this, it acts on its own behalf, as explained in Stripe's privacy notice.

I discuss my work in supervision and mentoring. I do this anonymously, and I never use your name or anything that would identify you.

I will share information without your consent only where I believe someone is at risk of serious harm, or where the law requires it. My Confidentiality Policy explains this in more detail.

Information Sent Outside the UK

Some of these suppliers are based in the United States or store data there. These transfers are covered by the UK's approved safeguards, such as UK adequacy regulations (including the UK–US data bridge) or the International Data Transfer Agreement.

How long I keep it

I keep information for these periods:

  • client records, including session notes: three years after our last session

  • notes from a consultation that does not lead to coaching: six months after the consultation

  • enquiries that do not lead to a consultation: 12 months

  • financial records: six years after the end of the tax year they relate to

At the end of these periods I delete electronic records securely and destroy paper notes by cross-cut shredding.

How I keep it safe

I keep client notes in Google Workspace. My laptop and phone are encrypted and lock automatically when not in use. Every account has a strong, unique password and two-factor authentication where it is available.

Only I can see your records. I share them only if you ask me to, if someone is at risk of serious harm, or if the law requires it.

Any paper notes are stored securely until they are shredded.

I review these measures at least once a year and keep the software on my devices up to date. If something goes wrong and your information is affected, I will tell you. I will also report it to the Information Commissioner's Office where the law requires it.

Your rights

You have the right to:

  • ask for a copy of the information I hold about you

  • ask me to correct anything that is wrong

  • ask me to delete information, where there is no good reason for me to keep it

  • ask me to restrict how I use it

  • object to my using it, where I rely on legitimate interests

  • ask me to transfer it to you or someone else in a usable format, where this applies

  • withdraw your consent at any time, where I rely on consent

To use any of these rights, email me at claire_lifecoach@icloud.com. I will reply within one month.

Complaints

If you are unhappy with how I have handled your information, please tell me first at claire@clairecurrancoaching.com. I will acknowledge your complaint within 30 days and tell you what I am doing about it.

If you are still unhappy, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

I do not make decisions about you based solely on automated processing.
